Self check-in for holiday rentals in Spain: locks, the building door and guest registration
Quick answer
With a code or mobile lock that generates a credential valid only for each booking’s dates, guests let themselves in with no key handover. You also need to solve the building’s street door, respect the community’s rules, and still identify guests as Spanish accommodation law requires.
What you gain
- Arrivals at any hour with nobody travelling to meet them — especially useful if you live abroad.
- No lost keys or copies in circulation.
- A credential that expires by itself at check-out.
- An opening log if there is an incident.
- Separate access for cleaners and maintenance.
Types of lock
| Type | How the guest gets in | Bear in mind |
|---|---|---|
| Keypad with code | A numeric code per booking | Simple and universal; codes can be shared |
| Phone (Bluetooth) | App or link | No visible keypad; depends on the phone |
| Connected (wifi or gateway) | Code or phone, managed remotely | Create and cancel access remotely; depends on the connection |
| Motorised cylinder on the existing lock | Code, phone or fob | Exterior looks unchanged; check compatibility |
The most practical for someone managing several properties is a connected lock with a keypad: codes are generated remotely and the guest installs nothing.
The street door: the problem people forget
The flat is yours; the building entrance belongs to the owners' community. Options:
- A module that opens the street door from a phone or by code, wired to your own flat's intercom, without touching the shared installation.
- A reader or keypad at the street door: this alters a shared element and needs the community's agreement (Horizontal Property Act).
- A key safe: low cost, but less secure and often frowned on or banned by communities and local bylaws.
Before installing anything, check your community's statutes and resolutions and the tourism rules that apply to your property.
What the lock does not replace: guest registration
Nobody greeting the guest does not remove the duty to identify them. Royal Decree 933/2021 imposes record-keeping and reporting duties on accommodation providers. The procedures run through the Interior Ministry's portal. The usual approach is to pair the lock with online registration before arrival and send the code only once registration is complete. Check the exact scope of your obligations in the rule itself and with your adviser — this catches out many non-resident owners.
Practical security
- One code per booking, never a fixed one.
- Validity matched to check-in and check-out times.
- Separate codes for cleaners and maintenance, with a schedule.
- A security cylinder and escutcheon: electronics do not make up for a weak mechanical lock.
- Emergency opening planned: a safeguarded mechanical key or external power.
Batteries and connectivity
- Low-battery alerts with margin, and someone responsible for changing them.
- If the lock depends on the flat's wifi, what happens when a guest switches off the router? Prefer one that stores codes locally.
Free egress
From the inside it must always be possible to leave without a code or phone, in one simple action.
Data protection
Opening logs and booking details are personal data: inform the guest and keep only what is essential (guide).
Recommended steps
- Check the door and existing lock (types of lock).
- Solve access to the street door.
- Choose the lock according to how you manage bookings.
- Link it to your guest registration process.
- Prepare clear guest instructions in several languages.
For a whole building or one with a reception, see electronic hotel locks. We install and set up these systems across the Valencia region, and can deal with owners in English: access control for accommodation.
Frequently asked questions
Is check-in without anyone present legal in Spain?
Keyless entry is a technical matter; what the law requires is identifying travellers and reporting their details. How that identification must be done depends on national rules and the tourism regulations that apply: confirm before rolling it out.
Can the community stop me fitting a keypad at the street door?
The street door is a shared element, so altering it needs the community’s agreement. On your own front door you have more freedom, within any appearance rules in the statutes.
